POSITION SUMMARY

Under the direct supervision of the GIS Manager, the Deed Clerk is responsible for working new deed changes and note/scan into account, send to mapping (GIS) when necessary, and process split/merge requests. The Deed Clerk will typically work Monday through Friday 7:45 am to 4:45 pm with extended hours as needed.

ESSENTIAL DUTIES

  • Perform data entry assignments and tasks as assigned, primarily entering data into district database appraisal software system.
  • Updating and maintaining an appraisal database with ownership and entity changes
  • Data entry for new subdivisions, condominiums, parcel splits and merges
  • Must conduct ownership and acreage research
  • Administer taxing entity codes, prorate procedures, update and maintain situs addresses
  • Communicate with property / business owners, employees, and other individuals to answer questions, disseminate or explain information.
  • Handle functions that require knowledge of Texas Property Tax Laws.
  • All duties are performed independently and require self-motivation and a professional attitude in the work environment. The deed clerk must be able to do business with the public in sometimes difficult and adversary situations.

REQUIREMENTS/ADDITIONAL RESPONSIBILITIES

  • Must be authorized to work in the US.

MINIMUM EDUCATION AND/OR EXPERIENCE

· High School Diploma or GED

· A minimum of three (3) years of data entry experience.

KNOWLEDGE, SKILLS, AND ABILITIES

· Knowledge of general office procedures.

· Knowledge of principles and processes for providing customer and personal services

· Knowledge of Microsoft Office, proficient in Word, Outlook, and Excel

· Ability to read, analyze, and interpret surveys, title insurance, or other documents

· Ability to communicate effectively orally and in writing.

· Ability to assess information, ask questions, make decisions, manage time effectively, and execute assignments.

PHYSICAL REQUIREMENTS

Must be able to sit or stand for extended periods, bending, kneeling, reaching and twisting the upper body. Must use hands for data entry much of the workday. Must be able to hear and speak both in person and by phone. Must be able to see and read fine print and lift 40 pounds. This position is subject to stress caused by a changing public environment, organizational diversity, heavy workload, and mandatory deadlines. Moderate stress levels are consistent with occasional significant stress.

WORK ENVIRONMENT

An indoor and outdoor setting in all types of weather conditions. Frequent exposure to computer monitors and interfacing with the public. Job is not subject to significant occupational or environmental hazards.
